Scholarly Elite Tutoring, a division of Scholarly Inc. ("Scholarly Elite," "we," "us," or "our"), is responsible for the personal information under its control. This policy explains what we collect through scholarlyelite.com, why we use it, the service providers that process it, and the choices and rights available to you.
Information we collect
When a parent or guardian submits a contact request, free-assessment request, or newsletter form, we collect the information entered in that form. Depending on the form, this may include the adult's name, email address, telephone number, inquiry message, location, a student's grade level, selected subjects, and learning goals. Please do not submit a child's name or unnecessary sensitive information through these forms.
Our hosting and security systems necessarily process limited request information, which may include an IP address, request time, requested page, browser or device information, and security or rate-limit signals. We use this information to deliver and protect the website, diagnose failures, and prevent abuse.
If you affirmatively enable analytics, HubSpot may collect an opaque visitor identifier, pages viewed, session timestamps, referring page, standard UTM campaign parameters, and technical information such as browser, device, and approximate location derived from an IP address. We do not currently use advertising or retargeting cookies on this website.
How we use information
We use personal information to respond to inquiries, arrange and provide requested tutoring services, maintain customer and prospect records, administer form and communication consent, operate and secure the website, comply with legal obligations, and, only after optional analytics consent, understand website use and traffic attribution. We use newsletter contact information for Scholarly Elite newsletter or email updates only when the person separately consents to those communications.
Cookies and similar technologies
The necessary scholarly_cookie_consent cookie records only the consent version, whether analytics is allowed, the decision and expiry times, the decision source, and the selected English or French interface language. It is stored on this website for six months so that we can apply and demonstrate your choice. It is not an advertising identifier. HubSpot may also place __hs_do_not_track for up to six months when tracking is disabled so that the rejection continues to be honoured.
HubSpot analytics is optional and remains off unless you accept it. When enabled, HubSpot may use __hstc, the main visitor-tracking cookie, for six months; hubspotutk, an opaque visitor identifier, for six months; __hssc, a session-count cookie, for 30 minutes; and __hssrc, a browser-session detection cookie, until the browser session ends. HubSpot or its content-delivery provider may also use strictly necessary security cookies, such as __cf_bm for approximately 30 minutes and __cfruid or __cfuvid for the browser session, when a HubSpot resource is requested.
Your cookie choices and Global Privacy Control
You may accept analytics, reject it, or make a custom choice in the cookie notice. Necessary storage cannot be disabled because it records and enforces your selection and supports website security. You can withdraw analytics consent at any time using the Cookie preferences control in the website footer. Withdrawal stops future analytics, asks HubSpot to revoke its consent, and removes accessible HubSpot analytics identifiers. It does not reverse processing that lawfully occurred before withdrawal.
If your browser sends a recognized Global Privacy Control signal, analytics is forced off even if this browser previously recorded an acceptance. A missing, expired, malformed, or outdated consent receipt also fails closed: analytics remains off and the website asks for a new choice. If the browser prevents the preference from being stored, analytics remains off.
Forms and communication consent
Cookie consent is separate from the acknowledgement and consent associated with a contact, assessment, or newsletter form. You can submit any of these forms after rejecting analytics. In that case, we send the form information and its form-specific consent record to HubSpot without the HubSpot visitor token or analytics-related IP context. A contact or assessment inquiry is not consent to receive marketing messages. Newsletter consent may be withdrawn using the unsubscribe method in a message or by contacting us.
Service providers and processing outside Canada
We use HubSpot for form submissions, customer relationship management, consent records, optional website analytics, and the team inbox; Vercel for website hosting, delivery, request processing, and rate limiting; Sanity for website content management and delivery; and Microsoft 365, GoDaddy, Proofpoint, or related providers for business email hosting, delivery, and filtering. These providers and their subprocessors may process information outside your province or Canada, including in the United States and other jurisdictions. Information processed there may be accessible to courts, law-enforcement authorities, or national-security authorities under the laws of those jurisdictions.
We limit service providers to the information needed for their functions and use contractual, account, and technical safeguards appropriate to the service. We do not sell personal information. We do not disclose it to unrelated third parties except with consent, to provide a requested service, as required or permitted by law, or in connection with a business transaction subject to appropriate safeguards.
Retention and safeguards
The cookie periods are described above. We retain form submissions, customer and prospect records, communication and consent records, and related correspondence only for as long as reasonably necessary to respond, provide and administer requested services, manage the relationship, demonstrate compliance, meet legal or accounting obligations, resolve disputes, and enforce agreements. We then delete or anonymize the information in accordance with our retention procedures, subject to backup cycles and legal holds. Service providers may retain information under their documented backup, security, and legal-compliance schedules.
We use administrative, technical, and physical safeguards appropriate to the nature and sensitivity of the information, including access restrictions, server-side credentials, validation, abuse controls, and encrypted transport. No method of transmission or storage is completely secure.
Children's information
This website and its forms are directed to parents and guardians, not children. We do not knowingly ask a child to make privacy or cookie choices or directly submit personal information. A parent or guardian may provide limited educational information needed to request tutoring, such as grade level, subjects, and learning goals, but should not provide the child's name through the public forms. Contact the Privacy Officer if you believe a child submitted personal information without appropriate authorization.
Access, correction, and complaints
Subject to applicable law, you may request access to personal information we hold about you, ask that inaccurate or incomplete information be corrected, or ask questions about our privacy practices. We may need to verify your identity and may be required or permitted to withhold some information. You may also withdraw consent to a use or disclosure, subject to legal or contractual restrictions and reasonable notice.
Changes to this policy
We may update this policy to reflect changes in our practices or legal obligations. We will update the date above and provide additional notice when appropriate. We will not begin an optional material new purpose, add a materially different tracking category, or disclose information to a materially different third party on the basis of an old cookie choice; we will update the notice and request consent again where required.
